What happens to the information you give us.

Who is responsible

WebBack is responsible for the personal information you give us through this website. If you have a question about anything on this page, or you want to exercise any of the rights set out below, email hello@webback.co.uk.

What we collect, and when

We collect personal information in one place on this website: the enquiry form on the contact page.

That form asks for your name, your email address and a description of your business. Those three are needed in order to reply. It also offers optional fields for your business name, your telephone number, which package you are interested in and your existing website address. You do not have to fill those in, and leaving them blank makes no difference to your enquiry.

If you email us directly instead, we hold whatever you choose to put in that email.

Why we use it, and on what basis

We use what you send in order to reply to your enquiry, answer your questions and, if you decide to go ahead, carry out the work and invoice for it.

For an enquiry that has not yet become a job, our lawful basis is legitimate interests: you asked us to get in touch, and replying is what you would reasonably expect. Once you become a customer, the basis becomes performance of a contract. For invoices and accounting records, it becomes legal obligation.

We do not send marketing emails, we do not add you to a mailing list, and we do not share your information with anyone for their own purposes.

Who else sees it

The enquiry form is operated by Formspree, which receives what you type and forwards it to our email inbox. Our email is provided by Zoho Mail, which hosts the hello@webback.co.uk inbox your enquiry arrives in.

Both of those are in the United States, so your enquiry is transferred outside the United Kingdom and stored there. We chose them because they are the two we use to run the business, and neither is used for anything beyond delivering and holding your message.

This website is hosted by Cloudflare, which handles technical information such as your IP address in order to serve the pages and protect the site from attack.

If you book a call, you are taken to Calendly, which collects your name, email address and the time you choose under its own privacy notice. That happens on Calendly's website rather than this one.

Cookies and analytics

This site sets no cookies and stores nothing in your browser. There is no cookie banner because there is nothing to consent to.

We use Cloudflare Web Analytics to see how many people visit and which pages they read. It records the page address, the page you arrived from, your country and your device type. It does not set a cookie, does not fingerprint your device and does not follow you to other websites, which is why it needs no consent.

How long we keep it

An enquiry that never becomes a job is kept for twelve months, then deleted.

Customer records are kept for six years after the end of the work, because that is how long business and tax records need to be kept.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. To do any of these, email hello@webback.co.uk and we will deal with it within one month.

If you are not happy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Changes to this notice

If this changes, the date at the top of the page changes with it.
